Important Information Regarding Promotion Year 2007 Promotions and Immunization Requirements  

Please read the following notice for clarification:

This message concerns immunization documentation entrusted to the Medical Affairs Branch (MAB) of the Office of Commissioned Corps Support Services, that is stored on the main page of the ‘Secure Area’ of the Commissioned Corps Management Information System (CCMIS) Web site, and immunization data found on the Office of Force Readiness and Deployment’s (OFRD) ‘Officer Summary Page’ of the OFRD Web site as it relates to Promotion Year (PY) 2007.  

Corps officers’ basic force readiness status and the 5th promotion precept assessing the PY 2007 basic readiness points will be determined based solely on the OFRD ‘Officer Summary Page’ as of 31 December 2006 -- not by the MAB (CCMIS) database. As in past promotion years, an administrative, post-Promotion Board review will be conducted prior to the final approval of the promotion list by the Assistant Secretary for Health. This administrative review will be based upon the information contained on the OFRD ‘Officer Summary Page.’ The date on which this post-promotion administrative review is conducted is not known at this time, so officers must not let their readiness status lapse for any period of time. Officers will be removed from the promotion list if their readiness status is not current when the post-promotion administrative review is completed. 
Per Personnel Policy Memorandum (PPM) 07-001, “Extension of Manual Extension 377,“ (http://dcp.psc.gov/eccis/documents/PPM07_001.pdf), officers are required to: (1) self report all immunization data to OFRD; and (2) submit in hard copy complete medical/laboratory evidence to MAB. MAB will verify the validity of the medical documentation and enter these data into the CCMIS database to maintain medical confidentiality of this information. Officers are encouraged to submit their supporting immunization documents to MAB so that the Corps can develop an historical database for each officer. Much of this information is required only once during on officer’s career, but several immunizations require multiple updates. MAB requires sufficient time to receive this information so that the information can be reviewed and entered into the MAB (CCMIS) database.  
For the purposes of the PY 2007 promotion cycle, the immunization standard will be assessed solely by the self-reported information on the OFRD Web site. Immunization data and documentation will continue to be accepted and reviewed and entered into the MAB (CCMIS) database for use in future promotion cycles and to provide medical waivers if required.
Officers may choose to fax (301-594-3299) or mail immunization documentation to MAB (see address below), but not both. Officers must include their name and PHS serial number on all correspondence so that the information can be properly filed into the MAB (CCMIS) database of the officer’s electronic Official Personnel Folder.
