Promotion and Readiness Deadlines: Common Errors and Last Call
Promotion and Readiness documents are due on February 17th. All Final Documents must be received by the Division of Commissioned Corps Personnel and Readiness (DCCPR) by the deadline of Feb. 17th. The time frame for document correction requests has passed. No documents will be received or corrected after Feb. 17th. Remember, you are ultimately responsible and held accountable for the information in your electronic Official Personnel Folder (eOPF).
Below is a list of common errors and items to double check:
-
Emails Regarding Document Rejection through eDOC-U:
- Read the email. Most of the document rejection emails explain why the document was rejected. Correct the error and resubmit your document.
-
Curriculum Vitae:
- Upload your cover sheet as ONE document with your CV.
- Upload your CV with the date of upload.
- Only a CV with a more recent date than the existing CV will replace the existing CV. In other words, uploading an updated CV dated Dec. 31, 2016 will not replace the existing CV in your eOPF if it is also dated Dec. 31, 2016.
- CV dates through Feb. 17, 2017 are valid for the 2017 Promotion Boards
- Officer Statement:
- Ensure you fill out all the boxes of the OS.
- Sign the document. If using a digital signature, ensure your name is displayed.
- Do NOT submit multiple copies.
-
Reviewing Official’s Statement:
- Contact your Commissioned Corps Liaison if your ROS is not in your eOPF.
-
PHS Support Activities:
- Upload Certificates of Appreciation, Letters of Appreciation and continuing education documents as one document by year. You can do this by scanning all of your documents at once or by selecting “Combine files into a single pdf” (under “File” and “Create”) in Adobe Acrobat.
- Double check the content and accuracy of information in your eOPF and in Direct Access.
If you are missing documents or have errors in your eOPF, please select the link in the top right corner of your eOPF labeled Contact Information to Correct eOPF Errors.
If you have additional questions, please email the Commissioned Corps Help Desk at CCHelpdesk@HHS.gov.
